Live engraving for your company Christmas or year-end party in the Klang Valley

December is the busiest month for company parties in the Klang Valley. Annual dinners, Christmas lunches, year-end town halls and client appreciation nights all fall in the same few weeks, and most of them hand out a gift or run a lucky draw. Live engraving combines the two: guests get a gift with their own name on it, and the station itself becomes something to watch. This guide explains how it works at a Christmas or year-end party, what to engrave, how to plan the queue, and what your venue will need.

What live engraving at a party looks like

We set up a mobile laser engraving station at your venue, whether that is a hotel ballroom in Kuala Lumpur, an office in Petaling Jaya or Cyberjaya, a restaurant in Bangsar or an event space in Shah Alam. Our team arrives before the event starts. Each guest picks up their gift, tells us the name or short message they want, and watches it being engraved in front of them. A typical name takes about 30 to 60 seconds per item, depending on the design.

The engraving is permanent. It is not a sticker or a print that peels off after a few washes, which matters for items like tumblers that people use every day.

Why it works at a Christmas or year-end party

• It gives people a reason to get up. Between speeches and courses, guests drift over to watch the laser at work. It starts conversations between teams who rarely meet.
• The gift is personal. A tumbler with your logo is a nice thought. A tumbler with your name on it is yours, and people keep it.
• It is made for phone cameras. Watching your own name appear letter by letter is the kind of moment people film and share.
• It works for everyone in the room. A name and a short greeting suit staff of every background, whether or not they celebrate Christmas.

What to engrave

Keep it short. Small items have limited space, and short text engraves faster, which keeps the queue moving. Popular layouts for a December party are:

• The guest’s name plus “Merry Christmas 2026”.
• The guest’s name plus “Season’s Greetings” or “Happy Holidays”, which suit mixed teams.
• The guest’s name plus “Thank you for 2026” or “Hello 2027”, for a year-end theme.
• Your logo as a shared design on every piece, with each guest’s name added live.

We agree the layout and the shared design with you before the event, so on the night the only thing that changes is the name.

Planning the queue

The simplest way to size the station is to multiply your guest numbers by the engraving time. At about 30 to 60 seconds per item, 100 guests means roughly 50 to 100 minutes of engraving, and 200 guests roughly 100 to 200 minutes. Guests also need a moment to choose an item and spell out their name, so leave some slack on top.

A few things make the queue easier:

• Open the station early. The cocktail hour or registration period, before dinner starts, is when most people are free to walk over.
• Put it where people pass. Near the entrance or the bar, not in a far corner of the ballroom.
• Collect names in writing. A simple card or sign-up sheet at the station means guests can write their name once and avoids spelling mistakes.
• Tell us your programme. If there is a lucky draw or a performance at a fixed time, we can plan around the moments when everyone is seated.

What your venue needs

• A standard power point near the station. We bring the rest of the equipment.
• A little floor space for a table and a short queue.
• Venue approval. Hotels, malls and event spaces each have their own rules for outside vendors. Check with your venue early and tell us what they ask for.
• Insurance and fire safety. Public liability insurance and fire-safety arrangements are provided by the venue or by you as the client, in line with the venue’s rules. Please confirm what your venue requires before the event.
• Fume extraction. Fume extraction is available as an optional add-on. If your venue is a smaller or enclosed room, ask for it in your quote.

Where we go

We cover the whole Klang Valley, including Kuala Lumpur, Petaling Jaya, Shah Alam, Klang, Cyberjaya and Putrajaya, and travel across Peninsular Malaysia, including Penang, Perak, Johor, Melaka and the east coast. Live engraving is currently not available in Sabah and Sarawak.

When to book

Christmas Day falls on Friday, 25 December 2026, so many company parties are held in the first three weeks of December, and the popular dates are the same for everyone.
